If you are not utilizing the group flights shown, Carlson Wagonlit Travel can assist you with individual reservations or frequent flyer reservations (service fees apply). Individual tickets are non refundable once purchased. Deviations can be requested. Extra fees apply.


We recommend RBC package tour insurance. This covers cancellation penalties if cancellation is due to medical reasons, an event that renders your principle residence uninhabitable or place of business inoperative, or cancellation due to an emergency medical condition of your business partner or key employee. Immediate notification of illness or event is required. Pre-existing exclusions are shown in your policy which will be sent to you when issued. Package tour insurance covers cancellation, trip interruption, flight, accident, and baggage. It is also available with unlimited medical coverage (extra cost) for Canadians. Medical coverage is not available to US citizens. Travel protection can also be purchased from the cruise lines; see cruise line brochure for details (medical coverage limited).


The handling office for KPES, Carlson Wagonlit Travel, Winnipeg is located in Canada, and legally cannot process amounts in US dollars on US credit cards. Deposits are processed for the Canadian amount shown, and exchanged at a daily rate used by your credit card company. Your final charges will be put through in Canadian funds, and will convert to U.S. Your charges are guaranteed to be the same as or lower than the US prices shown in brochure if booked by the deadline shown. Credit card charges for exchange fees are the responsibility of the cardholder.


A valid passport is required for Canadian and U.S. citizens to all destinations. If you are returning to Canada with a passport from another country, you will also need a permanent resident card. If your citizenship is not in Canada or the U.S., please check for further documentation requirements.


Recommended gratuities on board a cruise are usually $11 U.S. per person, per day; $13 U.S.for suites. In some cases the cruise line will charge the gratuities to your shipboard account. For some groups we are required to pre-collect and prepay gratuities to the cruise line. Please see the page pertaining to the cruise you are taking on the KPES website or in the brochure, where we will specify the gratuity policy and procedure.  We will also send you a reminder of this with your final documentation. For all cruises a 15% gratuity will be automatically added to your bar bill or wine check when you are served. Gratuities are included for all inclusive land programs (unless otherwise specified), but a few dollars given to a waiter or maid are usually welcome.


Please refer to the cruise line or tour company brochures for detailed terms and conditions. Cruise itineraries are subject to change. KPES hosts are not responsible for personal care. Prices are guaranteed until booking deadlines shown as long as group inventory is available. Group inventory could sell out, and is subject to a recall in sold out situations, at which time current pricing comes in to effect. Book early to avoid these situations.


Please note, our rates are negotiated based on inclusive group costs for hotels, tours etc. Should individuals request specific changes that deviate from the negotiated group program, additional change fees may apply. No refunds will be given for any unused services/products, etc. which are part of the negotiated package.

Final group documents do not normally arrive at Carlson Wagonlit Travel until 10-14 days prior to departure and should be sent to you to arrive by a week prior. In some cases we receive e-documents, and we are able to get your documents to you earlier by email. Full details of your ship or resort, as well as optional shore excursions are available on the supplier websites. An air confirmation will be sent to you if you are booking group air. Sometimes cruise air schedules are not available until 60 day prior to departure. Air deviations can be requested. Extra fees apply. Carlson Wagonlit Travel will be happy to send you a brochure and forward you any additional information for any of these trips.
